This module enables configuring and administering the entire OKbase system, managing common code lists, as well as recording of users, their roles and access rights. It includes creation and use of user sets, data export and import, and recording of audit information necessary for evaluating effectiveness and system security.

User accounts
Each OKbase user has a user account assigned. The account has a number of properties and links defining the account validity, password requirements, membership in user groups, assigned identification cards and set-up of a user profile.
User groups
User groups facilitate system administration. User accounts are ordered into groups and each user can be part of several groups at the same time. The module also allows creating hierarchical links between superior and subordinate groups for systematic administration. User groups have assigned roles, and users acquire effective rights in this way.
Rights
The system for allocating rights in OKbase is based on roles (RBAC – Role Based Access Control). Rights are not assigned directly to users, but solely via roles and groups of users. Rights for performing certain operations are assigned to individual roles. The system allows assigning rights for reading, changing, inputting and deleting to the roles for each operation.
Roles
Roles represent various work functions and have a subset of rights assigned within OKbase. Roles can be organised into hierarchical links between superior and subordinate roles and thus comprehensive structured sets of rights can be created.
Purpose-specific groups
Purpose-specific groups allow grouping the organisation’s employees according to various criteria (purposes). Each employee can be part of any number of purpose-specific groups. Role rights are limited only to the assigned purpose-specific groups.
Purpose-specific files
Purpose-specific files are files of purpose-specific groups. A purpose-specific file can be comprehensive, and in such case one is assured that each of the company’s employees belongs to at least the one purpose-specific group of this comprehensive file. A purpose-specific file can also be disjunctive, in which case one is assured that no employee is assigned to more than one purpose-specific group of the disjunctive file. Purpose-specific files are assigned to roles and thus limit the rights of roles only for the selected purpose-specific groups of the given file.
Audit
The audit allows the administrator to obtain data on the activity of individual users, events important for system security and errors during operation. The audit configuration allows limiting the audit only to certain objects, events and accounts. The audit records can be effectively sorted, filtered and searched.
Parameters
The system’s broad parameterisation constitutes the basis for its customisation to meet the needs of various organisations and users. OKbase allows setting up global parameters, as well as parameterising selected forms, printing sets and user profiles.
User sets
The module allows creating user sets according to the organisation’s needs. An experienced user or consultant can prepare user-defined sets with an interactive selection of data, relationships, arrangement and views. A transparent wizard easily allows defining the content of a set by selecting objects and attributes and setting filtering conditions. It allows setting up grouping and ordering of data, selecting data time periods and defining parameters. In addition to print outputs the user can create sets in the PDF, XLS and DOC formats as well in the form of MS Word bulk mailing.
Imports and exports
The module enables using prepared or user-defined configurations for importing data from other systems or external data sources into OKbase. The import configuration wizard easily allows establishing a choice of data with their subsequent transforming and mapping onto OKbase internal data. The export of work attendance and human resources data can be used for importing into the software of OKmzdy or into third parties’ applications.
